Internal AI assistant

An internal AI assistant is a conversational tool trained on your own documents — procedures, contracts, spec sheets, project history — and hosted on your infrastructure. It answers your teams' questions from your own content, without any document leaving the company.

The difference from a consumer tool fits in one sentence: this one knows only what you give it, and what you give it goes nowhere. That is what makes the exercise possible in a company handling quotes, employee files or client contracts.

In practice the value isn't in the conversation — it's in the time your people stop losing to searching. The question "what's our procedure when a client asks for a refund after 30 days" has a written answer somewhere. The problem is that finding it takes eleven minutes, so the person asks a colleague instead, who stops what they were doing.

When an internal assistant is justified

  • Your teams ask the same questions repeatedly and interrupt the same people to get answers
  • Your procedures exist but are scattered across an intranet, PDFs and two employees' memory
  • Onboarding a new hire takes weeks because the knowledge isn't reachable
  • You can't hand your documents to an online service, for confidentiality or compliance reasons

When it isn't

If your documentation is thin or out of date, an assistant will only amplify the problem: it will answer confidently from wrong content. In that case the real project is the documentation, not the AI. We'd rather tell you than sell you a tool that will work against you.

Frequently asked questions

Are our documents used to train a model?

No. Your documents are indexed so they can be consulted at question time, not fed into model training. That is an architecture decision, and it is written into the contract.

What if the assistant makes something up?

Every answer cites the passages it relies on, with a link to the source document. When nothing relevant is found, the assistant must say it doesn't know — that behaviour is configured explicitly, not hoped for.

How many documents make it worthwhile?

It isn't the count that matters, it's how often questions come up. Fifty procedures consulted daily justify the tool; two thousand documents nobody opens do not.

Does it work in French and English?

Yes, including on a mixed-language corpus. A question asked in French can find its answer in an English document, and the assistant replies in the language of the question.
